The importance of attendance software

It’s easy to dismiss time and attendance management software as nonsensical gimmicks which have no consequences on the bottom line of the company, but their role in improving an organization’s productivity becomes alarmingly clear once the automation is rolled out.

From the perspective of both HR and non-HR personnel, the time and attendance software helps employees accurately and reliably time in. An organization’s staff is the most important asset it has, and inaccurate timekeeping will inevitably lead to various pitfalls such as an ineffective payroll system. What follows is decreased productivity and low staff morale.

A dysfunctional attendance system can also allow certain employees to abuse the relative lack of checks and balances in place. Unless someone keeps a close on eye on them, their ability to come and go at the office as they please could continue unabashed.

Here are a few reasons why companies should seriously consider investing in attendance software;

1) Timely generation of payroll

Perhaps the most important advantage of an automated attendance system is the timely, effective and accurate generation of payroll. Manually monitoring each employee’s attendance can take upwards of 4 hours or more to properly generate a payroll. Effective implementation of automated attendance software can reduce this down to a few minutes.

2) Reduction in human error

As is common with repetitive and manual labor, they are prone to error and payrolls are no exception. Because they will no longer have to individually monitor each employee’s attendance records and use them to calculate the resulting pay, they will make fewer errors. And if errors do occur, they can be promptly resolved.

3) Settle disputes quickly

While employees may take a week or so before getting used to the attendance software, once they do become acquainted, it will allow them to properly dispute any grievance they may have with their payroll generation. All they have to do is to create a ticket which will be reviewed by the relevant HR staff. Upon proper verification of their attendance, the payroll disputes can become quickly resolved without any prejudice.

4) Increase productivity of HR

The menial task of cross-checking and verifying each individual employee’s record and then generating their payroll could take hours. But the attendance software shaves it down to a mere minutes, and this frees up an appreciable amount of time for the HR personnel to perform other important tasks such as scheduling, recruiting new employees and making sure the organization runs like a well oiled machine.

5) It enforces compliance with the law

When HR is unable to maintain proper records, it can result in significant monetary losses and negatively impact the organization’s bottom line. To make things worse, it also violates FLSA laws and the company can find itself in the midst of crippling legal defense costs and fines. Time attendance software promptly notifies the company whenever there is a breach of policy or legal issues.

For small and medium enterprises (SMEs) with shorter budgets, the last thing they want is getting slapped by expensive fines which wouldn’t help much with their public image and could seriously hamper the hiring process.  For this reason and more, it is important for companies to make the switch to an effective and reliable automated attendance system.
